The Class record
The Class record organizes all engagements with the Fellowship program in one place. It helps you manage nominations and selection for that class, and gives you an overview of what stage the class is in throughout the Fellowship journey.
Create a Class record
Enter information about the new class
Don't know exact dates at this point? That's okay! Enter approximate dates for now - you can always update this information later.
Information
*Class Name: This can be a placeholder, but should generally include the class number (e.g. Class 14).
*Start Date: The start date is the first date of the first class seminar. If the dates change, you will need to update the dates on the seminar record and the class record later. The start date will also set the "Class Year."
End Date: The end date is the last date of the last class seminar. If the dates change, you will need to update the dates on the seminar record and the class record later.
Timeline
*Nomination Cycle Open Date: This is the date you will start accepting nominations for this class. The nomination form will be open whenever the "Nomination Form Open" checkbox is selected.
*Nomination Cycle Close Date: This is the date through which you will accept nominations for this class. Uncheck the "Nomination Form Open" checkbox when you're ready to close the nominations form.
Acceptance Start Date: This is the date you expect to start informing candidates that they have been accepted into the class. This field is not required, but helps the AGLN team understand the general timeline for class nominations, selection, and onboarding.
Announcement Date: This is the date you will announce the new class of Fellows. This field is not required, but helps the AGLN team understand the general timeline for class nominations, selection, and onboarding. The announcement date is particularly useful in coordinating with the AGLN communications schedule.
Text for Forms
*Seminar Dates: List the seminar dates for the class here. This information will display on both the nomination and confirmation forms and all candidates will be expected to commit to their availability for these dates.
Interview Dates: Include the date range (Format: Month to Month Year) you plan to hold interviews - there is language on the form that indicates the dates are tentative. The information will display on the nomination and confirmation form.
Save the Class record
When you save the class record, several things will happen:
- The nomination form links specific to this class are generated. This includes the class nomination form (open), the class confirmation form (needs to be personalized for the candidate confirming their interest), and the class acceptance form (needs to be personalized for the selected candidate confirming their acceptance into the class).
- A Campaign record for the class is created. This campaign is empty, but will later be used to include all Fellows in the class so that you can easily email them as a group.
