Special Event Attendee Record
The special event attendee record contains details on an individuals participation in an event. This includes registration details, payment details, scholarship information, travel and lodging details, and session registration.
General Information
The first two sections on the special event attendee tab include basic information on the individual's event atttendance and personal affiliations. This is where you can see the status of the individual's registration, the type of registration, and the number of sessions they are registered for. This information feeds directly from the form submitted during registration.
You can also view their primary affiliation, their Fellowship program and class, and whether they are a member of the AGLN moderator corps. This information comes directly from the individual's contact record.
Timeline
This section provides details on when an individual's registration form was completed. It also has three automatic email options for the individual. The first emails the registration form to the individual, the second emails the registration confirmation to the individual, and the third emails the payment form to the attendee.
To send these automatic emails, check the box next to the email type you would like to send and click save.
Registration Details
This section captures the general information collected through the registration form. This is where you can find an individuals:
- Action Pledge
- Interest in optional excursions - Maroon Bells hike and 5k Run/Walk
- Leader that inspires them
- Emergency contact information
- Interest in presenting or moderating an Action Workshop
- If they requested a hard copy of the readings
- Dietary restrictions
Payment Details
This section provides payment details for the individual's event registration. This includes payment for a general registration fee, deep dive registration fees, and youth camp registration fees.
If the payment status is submitted that indicates the individual has submitted payment through one of three ways: online, with a physical credit card authorization form, or via wire transfer. Once the payment appears on the general ledger the status is changed to confirmed. Payment notes indicate any correspondance that staff members have had with the individual in regards to their payment.
Scholarship Information
The request section contains an individuals scholarship details, if applicable.
The scholarship status indicates the status of the individual's request and the breakdown of each status' meaning can be found below:
- Not Requested - Scholarship support has not been requested by the individual
- Request - Scholarship support has been requested by the individual
- Approved by Staff - The request has been reviewed by Action Forum staff
- Approved by Sponsor - The request has been reviewed and approved by the sponsor who is contributing the scholarship funds
- Denied - The request was denied
- Granted -The individual has been notified that their request was approved
- Confirmed - The individual has accepted the scholarship funds and terms of scholarship
- Declined - The individual has declined the scholarship funds
The scholarship funds are a look up field that match to the appropriate scholarshi pool for that individual. These pools are managed in the Opportunities tab on Salesforce.
The scholarship type indicates which scholarships were awarded. Individuals can request up to two scholarship types and we will grant one or both depending on a number of factors.
The scholarship amount indicates the financial cost of the scholarship that has been granted. This is a formula field that comes directly from the registration cost, airfare cost, and lodging cost fields to the right.
The scholarship preference 1 and scholarship preference 2 indicate the two types of scholarship support the individual requested during registration.
The registration cost, airfare cost, and lodging cost are estimates that are manually entered during the staff review process.

Travel & Lodging
The travel and lodging section is where you can find an individual's travel and lodging details. When a participant submits information through their logistics form these fields are automatically updated.
The hotel request, check in date (requested), and check out date (requested) fields indicate if a participate requested a room at the Aspen Meadows during registration and the status of that request.
We manage lodging for scholarship recipients, moderators, staff, sponsors, and sponsored participants. If we are managing the lodging the room block field will say yes. We have room blocks at the Aspen Meadows Resport, the Limelight Hotel, Hotel Aspen, and the Molly Gibson Lodge.
The lodging details are communicted to the hotels with a rooming list that can be found on Sharepoint. If you need to change the lodging details for someone whose lodging we are managing please email Kaitlin McDonald directly. Do not make any changes to a participant's lodging if we are managing the booking in Salesforce or Sharepoint without contacting Kaitlin first. This will ensure that any requested changes get communicated to the hotels.
Forms
This section includes an individual's personalized forms for the event. The registration form is for the general action forum registration.
The payment form contains only the payment section of the registration form. The information on this form is updated directly from the payment section on the special event attendee record.
The logistics form allows participants to update their action pledge, biography, profile photo, travel and lodging details. This form will pre-fill with data from the individuals contact record and special event attendee record.
Custom Links
The custom links section includes links to conga composer templates that may be useful before and during the event.
The generate invoice link will produce an invoice with payment details for the individual. This populated directly from the payment section on the special event attendee record.
The registration details link will create a document with details from the individual's registration form submission, including which sessions they registered for.
The agenda badge and tent card/w sessions may be useful while staffing the event on-site. The agenda badge link generate the individuals badge with their personal agenda for the event. This feeds directly from the sessions on the special event attendee record. The tent card/w sessions link will generate a tent card for that participant with the sessions he is registered for printed on the back.
Once you choose the link you want, a pop up window for conga composer should appear. The form you need should automatically be highlighted on the left side. Click merge and download and open the attachment to view your file.
Sessions
The sessions section includes each session the individual is registered for, including the general sessions such as registration, lunch, and plenaries. It is best to view the sessions using the sessions tab but this is a useful snapshot of an individuals schedule at the event. These details feed directly into the participants personal agenda on the Aspen Global Leadership Network website.
